Role Overview
Lisa Reyna and the Leadership Happiness Institute™ are seeking an Operations & Programs Manager to serve as the operational backbone of a growing executive coaching and leadership development business.
This role is ideal for someone who thrives on building structure, managing moving parts, supporting clients, and bringing clarity to growth. You will work directly with the CEO to build and manage online programs and group offerings, support current clients, and ensure the business runs smoothly day to day.
Primary Objective
Ensure the successful execution of online programs and group offerings, deliver an exceptional client experience, and manage the operations of the business, allowing the CEO to focus on strategy, coaching, and growth.
Key Responsibilities
1. Online Programs & Group Offerings
Support the build-out, organization, and launch of online programs and group coaching offerings
Coordinate program assets (videos, PDFs, worksheets, emails, links)
Manage timelines, workflows, and deliverables
Assist with program updates, member access, and improvements
Ensure a seamless, professional participant experience
2. Client Support & Experience
Serve as a point of contact for current clients and group participants
Manage onboarding, scheduling, and communications
Support delivery of coaching programs, intensives, and groups
Track client needs, questions, and follow-ups
Maintain a high-touch, premium client experience
3. Business Operations & Systems
Manage day-to-day operations across the business
Maintain organization across tools, files, and workflows
Assist with website updates, landing pages, and program pages (Squarespace)
Support lead intake, discovery call workflows, and follow-ups
Create, document, and improve SOPs and operational processes
4. CEO Support & Prioritization
Work directly with the CEO to support priorities and initiatives
Manage scheduling related to programs, clients, and launches
Coordinate meetings, trainings, and group sessions
Prepare agendas, summaries, and follow-up items
Help protect the CEO’s time and operational focus
5. Team & Vendor Coordination
Coordinate tasks with virtual assistants and contractors as needed
Track deliverables and timelines
Support onboarding and communication
Maintain accountability and quality standards
6. Administrative & Financial Support
Assist with invoicing, contracts, and client records
Maintain documents, digital assets, and internal databases
Support event, workshop, or retreat logistics as needed
Ideal Candidate Profile
You are:
Highly organized, proactive, and dependable
Comfortable managing online programs and client workflows
Experienced in service-based or coaching businesses
Calm, solution-oriented, and detail-focused
Able to translate vision into execution
Required Skills & Experience
Proven experience in operations, program management, or executive support
Experience supporting online programs or group offerings
Strong project management and organizational skills
Experience managing client communications and workflows
Comfort working in Squarespace (page updates, links, program pages)
Familiarity with scheduling tools, shared drives, and basic CRM systems
Strong communication skills and professionalism
